Office Ergonomics: How to Set Up Your Chair, Desk, Keyboard, Mouse and Monitor

Do you finish a workday with a stiff neck, aching shoulders, tired wrists or a sore lower back? Your workstation may not be the only reason, but it can add unnecessary strain when your chair, desk, keyboard, mouse and monitor do not fit you or the work you perform.

A comfortable workstation brings the work towards you, supports your body and leaves room to change position. This guide takes you through the setup in the right order, using practical starting points that you can adjust for your body, vision and tasks.

The central idea: There is no single perfect posture to hold all day. Aim for a supported, comfortable position - then move, vary your tasks and readjust when your body tells you something is not working.

Why workstation setup matters in office ergonomics

Office work combines sitting, screen viewing and repeated hand movements. When equipment is too high, too low or too far away, you may lean forward, twist, shrug your shoulders, reach for the mouse or bend your wrists for long periods. These positions can contribute to fatigue and may aggravate symptoms in the neck, shoulders, upper back, elbows, forearms, hands or lower back.

Office ergonomics means fitting the work to the person. It is not a diagnosis and it cannot guarantee that pain will disappear. Symptoms may also arise from an injury, arthritis, tendon problems, nerve compression or conditions unrelated to the workstation. The purpose of a better setup is to remove avoidable strain while you pay attention to persistent or concerning symptoms.

Adjust your workstation in this order

Start with the chair. The chair determines the height of your body in relation to the desk; the desk influences the keyboard and mouse; and only then can the monitor be placed correctly. If you begin by raising the monitor or moving the keyboard, you may have to undo those changes later.

  1. Chair: support your feet, thighs and lower back.

  2. Desk: create leg room and bring frequently used items close.

  3. Keyboard and mouse: keep your shoulders relaxed and wrists aligned with your forearms.

  4. Monitor: place the screen in front of you at a readable height and distance.

  5. Work routine: change position and activity regularly.

Step 1: Set up your chair

Support your feet and thighs

Sit fully back in the chair. Adjust the seat height until your feet rest flat and securely on the floor. Your thighs should feel supported without pressure behind the knees. If you must raise the chair to reach a fixed desk and your feet no longer reach the floor, use a stable footrest rather than letting your feet dangle.

Check the seat depth

With your back supported, leave a small space between the front edge of the seat and the back of your knees. About 2 to 5 cm is a useful starting range. Too much seat depth may push you away from the backrest; too little may leave the thighs poorly supported.

Use the backrest

Adjust the backrest so it supports the natural hollow of your lower back. The support should feel firm but comfortable. You do not need to force your spine into an exaggerated arch. A small lumbar cushion can help when the chair does not provide enough support.

Set the armrests without shrugging

Let your upper arms hang naturally and bend your elbows to roughly a right angle. Armrests may lightly support the elbows or forearms, but they should not lift your shoulders. They must also allow you to move close to the desk. Lower or remove armrests that push the shoulders upwards or keep the chair too far away.

Step 2: Fit the desk and organise the work surface

Match the work height to your elbows

Move the chair close to the desk. The work surface or keyboard should be around elbow height or slightly lower, so your shoulders remain relaxed and your forearms are near horizontal. If a fixed desk is too high, raise the chair and add a footrest. If the desk is so low that your thighs or knees do not fit underneath, it is not suitable for regular use and the work surface should be changed.

Protect your leg room

Keep the space under the desk clear of boxes, computer towers and stored supplies. You should be able to place both feet securely, move your knees and change leg position without twisting your body.

Create an easy-reach zone

Keep the keyboard, mouse, phone and documents used throughout the day within easy reach. Items used occasionally can sit farther away. If you repeatedly reach across the desk, the shoulder and upper-back muscles remain active longer than necessary. A headset may help if you frequently type while speaking on the phone; avoid trapping a handset between your ear and shoulder.

Step 3: Position the keyboard

Place the keyboard directly in front of you and close enough that your elbows stay near your sides. Your shoulders should be relaxed, not raised or pulled forwards. Keep your wrists mostly straight and aligned with your forearms rather than bent upwards, downwards or sideways.

  • Set the keyboard at, or slightly below, elbow height.

  • Keep it close to the front of the desk, while leaving a small area for the hands to pause between tasks.

  • Type with a light touch; forceful keying adds effort without improving accuracy.

  • Flatten the keyboard feet if raising the back of the keyboard makes your wrists bend upwards.

  • Use a shorter keyboard if the number pad forces the mouse too far to the side.

A palm support is not a platform for pressing the wrists down while typing. If you use one, let it support the heel of the hands lightly during pauses and keep the hands free while typing. The more important correction is to adjust the chair, desk and keyboard so the wrists can remain comfortable.

Step 4: Keep the mouse close

Place the mouse immediately beside the keyboard, at the same height and within the easy-reach zone. Reaching forwards or out to the side can load the shoulder, trapezius and forearm muscles. Hold the mouse loosely; do not squeeze it. Keep the wrist aligned with the forearm and guide the mouse with movement from the elbow and shoulder instead of repeatedly flicking only the wrist.

  • Increase pointer speed if large repeated movements are needed to cross the screen.

  • Use keyboard shortcuts for tasks you perform often.

  • Choose a mouse that fits your hand and can be operated with a relaxed grip.

  • If symptoms persist, a vertical mouse, trackball or central pointing device may help some users - but no single design suits everyone.

Step 5: Adjust the monitor

Put the screen directly in front of you

Centre the monitor in front of your usual sitting position so you are not repeatedly turning your head or twisting your trunk. A practical starting point is to place the top of the visible screen around eye level or a little below it. The main viewing area should sit slightly below your straight-ahead line of sight.

Start at about an arm's length

Place the screen roughly an arm's length away, then adjust it until text is easy to read without leaning forwards or squinting. Monitor size, vision and the task all matter. Increase text size or display scaling before pulling the screen uncomfortably close.

Adapt for glasses and more than one screen

People who use bifocal, trifocal or progressive lenses may be more comfortable with the monitor slightly lower, because a high screen can lead to repeated chin lifting. If two monitors are used equally, place them close together and angle them towards you. If one is used most, put that monitor directly in front and the secondary screen to one side.

Reduce glare

Position the monitor so bright windows or lights do not reflect directly from the screen. Adjust brightness and contrast for the room, clean the screen and use readable text. Eye discomfort or headaches have many possible causes, so ongoing symptoms deserve appropriate eye or medical assessment rather than being blamed on the monitor alone.

What about a laptop?

A laptop joins the screen and keyboard together, which makes an ideal screen height and an ideal keyboard height difficult to achieve at the same time. For brief use, change position often and avoid balancing the laptop on your lap for long periods. For prolonged work, raise the laptop screen on a stable stand and use a separate keyboard and mouse. A separate monitor is another option.

The final adjustment: change position and activity

Even a well-fitted chair cannot make prolonged stillness comfortable for everyone. Short, frequent breaks or changes of activity are usually more useful than waiting for one long break. The UK Health and Safety Executive gives 5 to 10 minutes each hour as an example and emphasises that the right pattern depends on the work. A break can mean standing, walking to another task, stretching gently, attending a meeting or doing work that does not require the screen.

  • Use natural stopping points to stand or change task.

  • Vary sitting posture instead of trying to freeze in one position.

  • Place some routine tasks away from the desk when practical.

  • Reset your chair and screen after someone else uses the workstation.

Your five-minute workstation check

  • Feet are supported on the floor or a footrest.

  • Thighs are supported and there is a small gap behind the knees.

  • The lower back is supported and the shoulders feel relaxed.

  • There is enough room under the desk to move the legs.

  • The keyboard and mouse are close, at a comfortable height, with wrists mostly straight.

  • The monitor is directly in front, readable without leaning and around an arm's length away.

  • Frequently used items are within easy reach.

  • The workday includes regular changes of posture or activity.

Test the result: Work in the new setup for several days and notice what changes. Comfort, reach and symptom patterns are more useful than trying to match every angle perfectly. Readjust one item at a time so you can identify what helps.

What symptoms should not be ignored?

A workstation adjustment may reduce unnecessary strain, but it should not replace assessment when symptoms persist, worsen or interfere with sleep and daily activities. Arrange an evaluation if you have recurring neck, shoulder, back, elbow, wrist or hand pain; tingling or numbness; weakness; repeated dropping of objects; or pain travelling into an arm or leg.

Seek urgent medical care for sudden or marked weakness, loss of bladder or bowel control, numbness around the groin or saddle area, severe pain after an injury, or symptoms such as chest pain or shortness of breath. Do not assume these symptoms are simply ergonomic.
